To request TLD for one or more of our services, please complete the appropriate form from the options below and email it to RDS@MDAnderson.org. Service may be scheduled for checks to be done monthly, quarterly, semi-annually, annually or by request.

Payment Information
Service starts when the order is shipped, and payments are due upon receipt of invoice (net 30). Please include a copy of the invoice with payment for accurate posting to your account. Payments can be made by check or money order, ACH/EFT or major credit card. All wire transfer customers need to add $30 to their payment amount to cover transaction fees.
If your institution requires a purchase order for payment, please provide this to us at the time of order or prior to shipment.

Billing Data Retention Policy
Purpose
To ensure that all billing, invoicing, and payment-related data are preserved to meet long-term audit, legal and tax obligations.
Scope
This policy applies to all eletronic and physical records concerning customer invoices, payment records, tax documentation and contracts.
Retention Period
Standard Retention: All billing data must be retained for 15 years from the end of the fiscal year in which the transaction occured, after which it will be triggered for disposal in annual purge during Q1 audit cycle.
Storage & Security
Format: Digital records are preferred to prevent physical degradation and to restrict access to only authorized RDS personnel.
Data Disposal
Upon reaching the 15 year limit:
- Digital data will be overwritten or deleted according to industry and application standards.
- Physical records will be shredded and disposed of with proper UT MD Anderson services.
Legal Hold
If any records are subject to an ongoing investigation, litigation, or audit, the 15-year disposal rule is suspended until the legal department provides a written release.
