Applicant tracking system

An applicant tracking system (ATS) is used to hold the information entered when you fill out your application. For positions you’ve applied to, recruiters and hiring managers are then able to retrieve your information through the system and review your resume. Our ATS changed on Sunday, Sept. 1, 2013. Below, please find information that applicants need to know about this change.

Why did this happen?

When IBM acquired Kenexa, our ATS vendor, the decision was made by IBM to streamline their ATS products. As a result, our ATS vendor migrated MD Anderson to another platform, BrassRing.

When did this happen?

MD Anderson migrated its ATS to BrassRing on Sunday, Sept. 1, 2013.

Who will be impacted by the migration to BrassRing?

All applicants will be impacted by the migration.

I’m not able to log in to my profile. What should I do?

You may be receiving this error message because you’ve not created a profile in our new system. If you have created a profile, please click ‘forgot password.’ Beginning Sunday, Sept. 1, 2013, if you’d like to be considered for a newly posted position in our new system, you’ll need to do the following:

  • Create a new login.
  • Create a new password.
  • Create a new profile.

How is BrassRing different from Kenexa 2X?

BrassRing has the same functionality as our current system, Kenexa 2X. The appearance of BrassRing will differ slightly from Kenexa 2X, but the steps in the recruitment process are the same.

What does this mean for me?

If you’ve applied through the Careers page, your old login and password will no longer be valid once we migrate to BrassRing on Sunday, Sept. 1, 2013.

If you’ve applied for a position prior to Saturday, Aug. 31, 2013, your application will be reviewed in our previous system. There is no need to reapply to those same positions within our new system.

What happens to my completed applications in the old system?

Due to the migration, you won’t have access to updates on your job dashboard in the old system. If you’re selected to move forward in the recruitment process, you’ll be contacted by phone or email. Please monitor your email and voicemail.

Will I need to reapply to positions that I’ve applied to in the old system?  

You don’t need to reapply for positions you applied to in our current system prior to Saturday, Aug. 31, 2013.

Beginning Sunday, Sept. 1, 2013, if you’d like to be considered for a different position in our new system, you’ll first need to create a new log in, password and profile. Then, you’ll be able to submit a completed application for that position through the Careers page.

As new positions become available, they’ll be posted in our new system and not in our old system.

How can I apply to positions in the new system?

Beginning Sunday, Sept. 1, 2013, if you’d like to be considered for a different position in our new system, you’ll first need to create a new log in, password and profile. Then, you’ll be able to submit a completed application for that position through the Careers page.

How will I know where I am in the recruitment process?

Until the migration occurs, we encourage you to continue monitoring your application status by visiting your job dashboard. Once the migration occurs, you won’t have access to your dashboard in the old system
Within the new system, you can monitor the status of your newly completed applications on a job dashboard as well.

If you’re selected to move forward in the recruitment process from either system, you’ll be contacted by phone or email. Please be sure that your contact information is current.

Do I need to take assessments again?

If you’re invited via email to take an assessment within our new ATS, you must complete it in order to be considered for the position. Depending on the assessment(s) you complete, your successful results will be kept on record up to a year after your application date. Your successful Institutional Pre-Employment Test (IPET) results will be kept in the system for its lifespan and are valid for all future opportunities.

Can I request information from a previously submitted application?

Unfortunately, application information, which includes your applicant profile and resume won’t migrate to our new system. Please keep a copy of this information in your personal records and upload it to your new profile in BrassRing.

Take this opportunity to review your resume. Make sure it includes your most recent contact information (email and phone), your full employment history and education (licensure, certifications, degrees, etc.). For more information, visit the How to Apply page.

One of the features in the ATS allows you to upload your resume. Depending upon the content you submit, some of the application fields will be automatically filled in.

What should I do if I forget my password?

If you forget your password moving forward, you will need to click the ‘forgot password’ link located on the login screen. You’ll then receive an email prompting you to reset your password. Please note: Kenexa administrators don’t have access to reset your password.
